Save time and streamline your conversations with reusable prompts. Prompts are pre-written instructions and templates that you can save, organize, and reuse in Chat. Instead of typing the same instructions repeatedly, create a prompt once and use it instantly whenever you need it.

When to use prompts: Create prompts for recurring tasks like content generation, customer support responses, code reviews, or any task where you give the AI the same instructions multiple times.


Overview

Prompts are saved instruction templates that help you automate repetitive tasks in Chat. Each prompt contains a name and content (the actual instructions you want to send to the AI). When you use a prompt, it fills your input field with that instruction, ready to be sent.


Step-by-Step Guide

1. Access the Prompts Library

  1. Open Chat in Swiftask

  2. Look for the "Browse prompts" button above the input field (it appears next to the AI model selector)

  3. Click it to open the Prompts modal

2. Browse Your Saved Prompts

When you open the Prompts modal, you'll see the main interface:

The interface includes:

  • Search bar at the top to find prompts quickly by name

  • My Prompts section (collapsible dropdown) showing all your personal saved prompts

3. Use an Existing Prompt

  1. Browse or search for a prompt you want to use

  2. Click the prompt to view its full content and details

  1. Click the "Use Prompt" button (red/coral button on the right)

The prompt content will instantly fill your Chat input field, ready to send. You can edit it before sending if needed.

4. Create a New Prompt

  1. In the Prompts modal, click "Create a new prompt" button

If this is your first prompt, you'll see an empty state:

The message says: "Start by creating your first custom prompt to automate your tasks and optimize your workflow."

  1. Click "Create a new prompt" to open the creation form

  2. Fill in the form with two fields:

    • Prompt Name: Give your prompt a clear, descriptive title (e.g., "Name Joke" or "Product Summary Writer")

    • Prompt Content: Write the actual instruction text you want the AI to follow

Here's an example of creating a prompt with dynamic values:

  1. In the Prompt Content field, you can include dynamic values by using the # symbol. For example:

    • #your_name – A placeholder for a name

    • #topic – A placeholder for a topic

    • #style – A placeholder for style preference

    • #language – A placeholder for language preference

    The help text says: "Write the content of your prompt here, use # to add dynamic values."

  2. Click "Save" to save your prompt, or "Cancel" to discard

Your new prompt now appears in My Prompts and is ready to use.

5. Use a Prompt with Dynamic Values

When you use a prompt that contains dynamic values (marked with #), you'll be prompted to fill them in:

The process works like this:

  1. Click "Use Prompt" on a prompt that has dynamic values

  2. A "Fill prompt context" section appears showing each dynamic variable (e.g., #your_name)

  3. Enter the value for each placeholder in the text fields provided

  4. Once you've filled in all the values, click "Use Prompt" to insert the completed prompt into your Chat input field

In the example above, the prompt "Name Joke" asks you to fill in #your_name before using it. You type a name, and the AI will then write a joke about that specific name.

6. Edit, Delete, or Share a Prompt

Once you've created prompts, you can manage them from the My Prompts section:

Each prompt shows three action icons:

Edit (Pencil Icon)

  1. Click the pencil icon next to the prompt name

  2. Modify the prompt name or content in the form

  3. Click "Save" to update it

Delete (Trash Icon)

  1. Click the trash icon next to the prompt name

  2. Confirm the deletion

  3. The prompt is permanently removed from your library

Share (Share Icon)

  1. Click the share icon next to the prompt name

  2. Follow the sharing options to share with teammates or your workspace

  3. Shared prompts appear in the recipient's prompt library


Practical Use Cases

Customer Support: Create a prompt with your standard response template. Use it for every customer inquiry to ensure consistency.

Example prompt:

"Thank you for reaching out about #topic. Here's what I can help with: #solution. Please let me know if you have any questions about #details." 

Content Creation: Save a prompt like "Write a LinkedIn post about #topic in #style." Reuse it for different topics and tones without retyping.

Code Review: Create a prompt with your code review checklist. Use it every time you need to review code, just fill in the #file_name and #code.

Email Drafting: Save a prompt for professional emails. Customize #recipient_name and #purpose each time you use it.

Product Documentation: Create a template prompt for writing product guides. Use #product_name and #feature as placeholders.

Fun Content: Create a "Name Joke" prompt (like in the example above) that writes jokes about any name you provide.


Tips & Best Practices

Use descriptive names: Name prompts clearly so you can find them quickly (e.g., "Email Follow-up Template" instead of "Email").

Use dynamic values for flexibility: Use # placeholders for information that changes each time you use the prompt. This makes prompts flexible and reusable. Examples:

  • #topic for varying topics

  • #audience for different audiences

  • #tone for different writing styles

  • #language for language preferences

Start simple: Create basic prompts first, then add complexity as you get comfortable.

Test before saving: Try your prompt in Chat a few times to make sure it works as expected before saving it officially.

Review and refine: Edit prompts based on the AI's responses. If results aren't what you expected, adjust the wording and save the updated version.

Keep prompts focused: Each prompt should handle one specific task. Create multiple focused prompts rather than one long, complex prompt.

Name dynamic values clearly: Use descriptive names for your # placeholders (e.g., #recipient_name instead of just #name) so users understand what to fill in.


Troubleshooting

The prompt isn't working as expected

  • Edit the prompt and clarify the instructions

  • Make sure your dynamic values (using #) are clear

  • Test the updated prompt with a simple example first

I forgot to fill in a dynamic value

  • When you use a prompt with dynamic values, all placeholders must be filled before you can proceed

  • If a field is empty, the "Use Prompt" button will not be available

  • Fill in all the values shown in the "Fill prompt context" section

The "Use Prompt" button is grayed out

  • Make sure you've selected a prompt from the list

  • If the prompt has dynamic values, ensure all fields in "Fill prompt context" are completed

  • Try refreshing the page and opening the Prompts modal again
