Share your custom AI agents with teammates so they can use specialized workflows without building them from scratch. When you share an agent, you control who can access it and what they can do with it—whether they can just use it, edit it, or manage it fully.

Sharing agents helps teams work consistently with the same tools, knowledge bases, and configurations. Instead of duplicating agents or managing multiple versions, everyone uses the same agent with the same expertise.


Overview

When you share an agent in Swiftask, you give specific teammates or groups access to use your agent in their own workflows. You can assign different roles to control what each person can do with the agent.

Shared agents appear in the "Shared with me" section for recipients, making them easy to find and use. The agent retains all its configurations—objectives, knowledge base, and skills—so everyone gets the same experience.


Prerequisites

To share an agent, you need:

  • A Swiftask account (sign up at swiftask.ai)

  • An existing agent you've created or own

  • Permission to share agents in your workspace

  • Teammates in your workspace to share with


Step-by-step guide

1. Navigate to the agents section

Click Agents in the left sidebar to open the agents workspace.

2. Locate the agent you want to share

Find the agent you want to share in your agent list. You can check the Personal or All agents section to locate it.

3. Open the agent actions menu

Click the three-dot menu icon (⋮) on the agent card to open the actions menu.

You'll see several options including:

  • Duplicate agent

  • Pin agent

  • Share the agent

  • Delete agent

  • Assigned to a collection

4. Click "Share the agent"

Select Share the agent from the menu. A sharing dialog opens.

The dialog shows two tabs:

  • Users – Share with individual teammates

  • Groups – Share with entire groups

5. Add users or groups

To share with individual users:

  1. Stay on the Users tab

  2. Click the Search users to add... field

  3. Type a teammate's name or select from the dropdown list

  4. The user appears in the list below with a default role

To share with groups:

  1. Click the Groups tab

  2. Search for and select the group you want to share with

  3. The group appears in the list with a default role

6. Assign roles

For each user or group you add, assign a role that determines their permissions:

  • Owner – Full control including editing, sharing, and deleting the agent

  • Admin – Can view and edit the agent configuration

  • User – Can use the agent but cannot modify it

Click the role dropdown next to each name to change their permission level.

7. Remove access (optional)

To remove someone's access to the agent, click the X icon next to their name in the list.

8. Close the dialog

Once you've added all users or groups and assigned roles, close the dialog. Changes are saved automatically.


Practical use cases

HR agent shared across the HR team

Create an HR documentation agent with access to company policies and recruitment guidelines. Share it with your HR team so everyone uses the same standards when generating job descriptions and screening reports.

Customer support agent for the support team

Build a customer support agent connected to your product documentation and FAQ. Share it with your support team so they can provide consistent, accurate answers based on your knowledge base.

Marketing agent for campaign teams

Configure a marketing agent with brand guidelines and market research. Share it with your marketing team so everyone creates content that aligns with your brand voice and strategy.

Department-specific agents with group sharing

Create specialized agents for different departments (Sales, Legal, Finance) and share them with corresponding groups. This ensures each team has access to the right tools without cluttering their agent list with irrelevant options.


What happens next

Once you've shared an agent:

  • Recipients see the agent in their "Shared with me" section

  • They can use it immediately from Chat or the Agents section

  • The agent retains all configurations including objectives, knowledge base, and skills

  • You can modify access at any time by opening the share dialog again

  • Usage is tracked under the agent owner's workspace credits
