Overview

The Owner role is the highest authority level in a Swiftask workspace. To maintain security and prevent unauthorized privilege escalation, only the workspace Owner can assign the Owner role to other members. Admins can no longer promote team members to the Owner role, even if they have full administrative permissions.

This restriction ensures that workspace ownership remains under strict control and prevents accidental or unauthorized elevation of privileges.

Prerequisites

To understand this restriction, you need:

  • An active Swiftask workspace with at least one Owner
  • Admin or Owner role in your workspace
  • Understanding of Swiftask roles (Owner, Admin, Member, Viewer, Billing Partner)

Why this restriction exists

The Owner role grants complete control over a workspace, including the ability to delete the entire workspace, change billing, and manage all members. By limiting Owner assignment to the current Owner, Swiftask ensures that:

  • Workspace ownership remains traceable and accountable
  • Privilege escalation cannot occur through Admin members
  • Billing and critical operations remain under strict control
  • The workspace always has at least one verified Owner

What changed

Before: An Admin member could assign the Owner role to themselves or other members.

After: Only the current Owner can assign the Owner role to other members. Admins attempting to assign the Owner role will see a clear error message explaining the restriction.

Attempting to assign the Owner role as Admin

If you are an Admin and try to assign the Owner role to a member:

  1. Navigate to Workspace administration β†’ Members

  1. Click the eye icon next to the member's name

  1. In the Member Details view, click the Role dropdown

  1. Try to select Owner from the list

  1. You will see an error message: "Only the workspace Owner can assign the Owner role"

The dropdown will either prevent selection or display this message after attempting to change the role.

How to assign the Owner role

Only the current Owner can assign the Owner role to another member:

  1. Sign in as the workspace Owner

  1. Navigate to Workspace administration β†’ Members

  1. Click the eye icon next to the member you want to promote

  1. Click the Role dropdown

  1. Select Owner from the list

  1. Click Save Change

  1. The member is now promoted to Owner

Practical use cases

Scenario 1: Promoting a trusted team lead to Owner

Your department head has been an Admin for 6 months and manages most workspace operations. You want to make them a co-owner for continuity. As the current Owner, you can promote them directly through the Members interface. Once promoted, they have equal authority and can manage the workspace independently.

Scenario 2: Preventing accidental privilege escalation

An Admin member accidentally clicks the Owner role in the role dropdown. Instead of allowing the change, the system blocks it and displays a message. This prevents unintended privilege escalation caused by misclicks or confusion about role permissions.

Scenario 3: Maintaining workspace security during transitions

If an Owner plans to leave the organization, they can explicitly promote a trusted successor to Owner before departing. This ensures a controlled transition and maintains workspace security. An Admin cannot make this change without Owner approval.

Scenario 4: Multi-owner workspaces

Some organizations have multiple Owners for redundancy. Each Owner can manage the workspace independently and assign the Owner role to new members if needed. This prevents lockout if one Owner loses access.

Tips & best practices

Maintain at least two Owners

Having multiple Owners prevents workspace lockout if one Owner leaves the organization or loses access. Plan for succession by promoting a trusted team member to Owner before transitions occur.

Clarify role expectations

Make sure Admins understand that they cannot assign the Owner role. Document this in your workspace policies to prevent confusion and support requests.

Use Admin for most leadership

For most team leads and department heads, the Admin role provides sufficient permissions without the risks of Owner-level access. Reserve the Owner role for workspace founders and key decision-makers.

Review Owner assignments quarterly

Audit who has the Owner role in your workspace. Remove Owner status from members who no longer need it or who have left the organization.

Communicate ownership transitions

If you plan to promote an Admin to Owner or step down as Owner, communicate this clearly to your team. This ensures transparency and prevents confusion about workspace authority.

Troubleshooting

Issue: I cannot assign the Owner role to a member

Symptom: The Owner option is grayed out or I see an error message when trying to select it.

Cause: You are not the workspace Owner. Only the current Owner can assign the Owner role.

Solution:

  • Contact the workspace Owner and request that they promote the member
  • Alternatively, ask the Owner to transfer your role to Owner if you need this authority

Issue: An Admin member claims they need the Owner role

Symptom: An Admin says they need Owner-level permissions to perform their job.

Cause: The Admin may not understand the distinction between Admin and Owner roles, or they may genuinely need specific Owner-level permissions.

Solution:

  • Review what specific permissions they need (billing, workspace deletion, member removal, etc.)
  • If they only need to manage members and workspace settings, the Admin role is sufficient
  • If they truly need Owner-level access, have the current Owner promote them explicitly
  • Consider whether you need multiple Owners for redundancy

Issue: I am the Owner but cannot assign the Owner role

Symptom: Even as Owner, the system prevents me from assigning the Owner role.

Cause: This should not happen. There may be a technical issue or your account permissions may have been modified.

Solution:

  • Refresh your browser and try again
  • Sign out and sign back in
  • Contact Swiftask support if the issue persists
