The Billing Partner (Partner Space) feature allows you to create dedicated workspaces for your end clients. This feature is particularly useful for partners who want to offer Swiftask to their clients with billing managed from your partner account.

Overview

When creating a new workspace, you have the choice between:

  • Standard workspace : For your personal use or your team

  • Client workspace : To create a dedicated space for a client with partner billing

Creation process

Step 1: Confirm creation for a client

When you choose to create a workspace, a confirmation dialog appears:

Question : "Do you want to create a workspace for a client?"

You can:

  • Cancel : Return to creating a standard workspace

  • Confirm : Access the client workspace creation form

Step 2: Fill out the creation form

After confirmation, the client workspace creation form appears:

Client information

Client name

  • Required field

  • Name of the company or client person

Client email

  • Required field

  • Main email address of the client

  • This address will be used for:

    • Automatic email invitation with a temporary password

    • Communications

    • Access and connection to the Swiftask application

  • The client will automatically receive an invitation email containing their login credentials and a temporary password

Client logo/avatar

  • Optional

  • You can upload a custom logo to identify the client's workspace

Workspace information

Workspace name

  • Required field

  • Unique name that will identify the workspace

  • Example: "WS - CLIENT FINAL"

Workspace description

  • Optional field

  • Detailed description of the workspace

  • You can use the microphone icon for voice input

  • If not filled, will display "- No description -"

Billing information

Address

  • Complete postal address for billing

  • Example: "15 Rue de Rivoli"

City

  • Billing city

  • Example: "Paris"

State/Region

  • State or region for billing

  • Example: "Île-de-France"

Postal code

  • Billing postal code

  • Example: "75004"

Country

  • Selection from a dropdown list

  • Example: "France"

Custom billing message

  • Optional field

  • Custom message that will appear on invoices

  • Placeholder: "Custom message for billing"

  • Voice input option via the microphone icon

Support URL

  • Optional field

  • Support URL for the client

  • Placeholder: "Client support URL"

Step 3: Validation and creation

Once all required fields are filled, click the "Create workspace +" button at the bottom right of the form.

Step 4: Creation confirmation

After successful creation, a confirmation message appears with the text "Workspace created successfully".

You then have access to two actions:

  • Modify : Allows you to modify the information of the created workspace

  • Create new : Create another workspace for a client

Access the client list

To view and manage all your client workspaces:

  1. Click on "Workspace settings" in the main menu

  2. In the sidebar, click on "Partner Space"

The "Partner Space" page displays:

  • Title : "Partner Space"

  • Description : "List of all client spaces managed by your partner account."

Search and creation features

  • Allows you to search for a client workspace by name

  • Real-time search

"Create space +" button

  • Red button at the top right

  • Allows you to create a new workspace for a client

  • Accesses the same form described previously

Space name

  • Name of the created workspace

  • Example: "WS - CLIENT FINAL"

Client name

  • Name of the associated client

  • Example: "CLIENT FINAL"

Client email

Created on

  • Workspace creation date

  • Format: "Dec 17, 2025"

Action

  • Edit icon (pencil)

  • Allows you to modify the client workspace information

Modify client information

Client information is fully modifiable after workspace creation. You can update client information, contact details, or billing settings at any time.

To modify an existing client workspace information:

  1. In the client workspace table, click on the edit icon (pencil) in the "Action" column

  2. A dropdown menu appears with the following options:

    • "Modify client information" : Accesses the modification form

    • "Export" : Exports the client workspace information

By selecting "Modify client information", a modal window opens with a simplified form allowing you to modify:

Modifiable fields:

  • Client name : Name of the company or client person

  • Client email : Main email address of the client (used for invitation and connection)

Important note : This modification form only allows you to modify the client's name and email. Other parameters (workspace name, description, billing information, etc.) may require modification through other interfaces as needed.

Pagination and export

At the bottom of the table:

  • "Rows per page: 10" : Number of rows displayed per page

  • "1-1 of 1" : Pagination indicator (current page number / total number)

  • Navigation arrows : To navigate between pages

  • "← Export" button : Allows you to export the list of client workspaces

Client invitation and access

Automatic email invitation

When creating a workspace for a client, the client is automatically invited by email to the address entered in the creation form.

Invitation process:

  • The client receives an automatic invitation email containing:

    • Connection information to their workspace

    • A temporary password to access the Swiftask application

    • Connection and usage instructions

Client connection to the application

Once the invitation is received, the client can connect to the Swiftask application using:

  • Their email address (the one entered during workspace creation)

  • The temporary password received by email in the invitation

  • The client will be required to change their password on first login for security reasons

Access limitations for clients

Important : Clients have very limited access according to the contracts established with the partner. Restrictions are defined to maintain partner control over management and billing.

Important restrictions:

  • Subscription management : The client cannot manage their subscription. Any subscription modification (plan change, upgrade, cancellation, etc.) must be performed exclusively by the partner account from the "Partner Space" section

  • Partner control : The partner retains full control over:

    • Billing

    • Subscription

    • Billing settings

    • General workspace management

Authorized access:

  • The client can use Swiftask features according to the limits defined by the contract

  • They can access their workspace and use agents, knowledge base, projects, etc.

  • Exact limitations depend on the contract and subscription plan subscribed to by the partner

This structure ensures that the partner maintains complete control over the business relationship and billing, while allowing the client to use the platform according to agreed terms.

Partner billing advantages

The Billing Partner feature offers several advantages:

  • Centralized billing : All client workspaces are billed to your partner account

  • Simplified management : Single interface to manage all your clients

  • Complete visibility : Overview of all created client workspaces

  • Customization : Each client workspace can be customized with its own information

  • Dedicated support : Ability to add a custom support URL per client

Best practices

When creating a workspace for a client:

  1. Consistent naming : Use a clear naming convention (e.g., "WS - [CLIENT NAME]")

  2. Complete information : Fill in all billing fields to avoid later issues

  3. Detailed description : Add a clear description to facilitate workspace identification

  4. Email verification : Ensure the client's email is correct and active

  5. Documentation : Note important information for future reference

This feature allows you to develop your Swiftask partner activity by offering the platform to your clients while maintaining control over billing and management.
